The 5-line structure
- Line 1 — the personalized hook: a sentence that proves you have looked at their establishment (the new suite, the rooftop, their recent rebranding).
- Line 2 — who you are, in one sentence: “I create short-form videos for hotels” — not your biography.
- Line 3 — the concrete offer: the exact deliverables (e.g., 3 vertical Reels + 10 photos, delivered within 7 days, 30-day usage rights included).
- Line 4 — the proof: a link to 2-3 examples. It’s the only thing they will click on.
- Line 5 — the low-friction CTA: a closed question that can be answered in 10 seconds.
The copy-paste template
Subject: Video content for [Hotel Name] — 3 free Reels
Hi [First Name],
I saw that you just opened your rooftop — the sunset photos look stunning, but I couldn’t find any vertical video content on your Instagram.
I create short-form videos for hotels: here is [portfolio link].
My proposal: I stay at your property for 2 nights in [month], and I deliver 3 vertical Reels + 10 photos within 7 days, with usage rights for your social media and website included.
Would this type of exchange be of interest to you for the [season] season?
[First Name Last Name] — [phone / Instagram]
Adapt line 1 to every establishment — that’s the part that does the heavy lifting. The other 4 lines can be industrialized.
The follow-up: where deals are signed
The majority of “yeses” arrive after the first follow-up. A hotel manager didn’t say no: they were simply interrupted. The cadence that works:
- D+4: short reply in the same thread: “Just following up on this — the proposal still stands for [month] :)”
- D+9: final message, with an exit door: “If now isn't the right time, a simple 'no' is perfectly fine!”
- After that, move on to the next one. Never more than two follow-ups.
The volume game (and how to win it)
With a good message, expect a 5 to 15% response rate. To land 2-3 collabs, you therefore need to contact 30 to 60 establishments — and that’s where everyone burns out: finding the emails one by one, checking the Instagrams, remembering who to follow up with and when.
That is precisely the work that UGC.Prospect automates: you choose a city, the tool finds the establishments with verified emails, Instagram, and WhatsApp, generates a personalized message for each establishment (in the recipient’s language), and reminds you to follow up on D+4 and D+9.
